The Add Canned Response feature lets you create predefined replies for messages you often send, so your team can respond faster and maintain consistency in communications.
Navigate to Settings → Canned Responses in your ChatMaxima dashboard, then click Add Canned Response to open the form.
You must fill in:
Short Code – A unique identifier (keyword) for quick reference
Choose Input Type – Select Text or File
You also have the option to set the canned response as Active or Inactive before saving.
The Short Code is a shortcut or keyword you type in the inbox to quickly insert the canned response during a conversation.
Text: Use this for typed reply templates or answers to common questions.
File: Use this to upload and send documents, images, or other files as replies.
There’s a toggle (Active / Inactive) at the top of the form.
Active — the canned response is immediately usable in inbox replies
Inactive — it is saved but won’t be available until you activate it later
Once all required fields are filled, click Add Canned Response (button) to create and save it.
Yes — after creation, go to Manage Canned Responses where you can Edit, Deactivate/Activate, or Delete any response.
If Short Code or Input Type is left blank, the system will prompt you to fill them before allowing you to save the canned response.
Use short, meaningful short codes
Keep responses clear and to the point
Use Text for standard replies, File for resources
Regularly review and update your canned responses
Deactivate outdated responses rather than deleting them immediately
